Tempified for teams

On the Team Fleet plan the app runs in two places: the workspace your members fill templates in every day, and Fleet Admin, the console the plan owner uses to manage seats, devices, permissions, and shared templates. Part One is written for team members; Part Two is for whoever runs the fleet.

How a fleet works, in one paragraph

The fleet owner buys a block of seats and authors the team’s template sets once, centrally. Each team member opens a join link, gets onto a seat (either the admin approves their workstation, or they sign in with a code emailed to them), and lands in the normal Tempified app — already loaded with the sets assigned to them. When the admin publishes a new version, it appears on every member’s screen live. No member ever creates an account, pays, or imports anything.

Part One

The app your team uses

For team members. Everything in the personal app documentation about building and filling templates still applies — this part only covers what is different when you’re on a fleet.

Joining your team

Open the link your admin sends you

Your fleet admin sends you a join link — a single URL that points at app.tempified.online with your team’s code attached. You don’t sign up, pick a plan, or enter a password. Opening the link is the whole start.

Open the link in the browser you'll actually work in

Chrome, Edge, or Safari on the computer or tablet you use for this work. The sign-in is tied to that browser on that device, so use the real one — not a private/incognito window.

Wait for the short check

The app confirms the link is valid and figures out how your fleet signs people in. You’ll see a brief loading state, then the correct sign-in screen.

Sign in (next section)

Either name your workstation and wait for approval, or enter your email and a mailed code — whichever your fleet uses.

Install it (optional, recommended)

Once you’re in, use your browser’s “Install app” option so it opens in its own window and works offline. You stay signed in.

Bookmark the join link

Keep the original link until you’re installed and signed in. If you ever get signed out, or you move to a new machine, opening that same link is how you get back in.

How your fleet signs you in

Device approval or email code

A fleet uses one of these two methods for everyone. Your admin chooses it when they set the fleet up; you’ll only ever see the one that applies to you.

Method A

Device approval

  • You type a name for this workstation — e.g. “Front desk · PC 2”. That’s the name your admin sees in their device list.
  • The app shows “Waiting for approval.” Your admin approves the device in Fleet Admin.
  • The workspace opens within a few seconds of approval — you don’t need to refresh.
  • This device keeps its seat until an admin revokes it. You won’t be asked again on this browser.
Method B

Email code

  • You enter your work email — the exact address your admin added to the fleet.
  • A 6-digit code is emailed to you. Enter it and you’re straight in — no admin approval step.
  • One device at a time. Signing in on a new device signs the old one out; the old one shows “Signed in on another device.”
  • Didn’t get the code? Check spam, confirm the address matches what your admin used, and request a new one.

Whichever method you use, you only do it once

The sign-in is remembered on that browser. You won’t be prompted again unless an admin removes your access, you clear the browser’s data, or (email-code fleets) you sign in on a different device. See Managing devices in Part Two for the admin’s view of approval.

Your workspace

Same app, templates come from your admin

Once you’re in, it’s the same Tempified app covered in the personal docs — Home, the Maker tab, variable fields, auto-fill from pasted text, groups and checklists. A few things are set by your fleet rather than by you:

Your templates come from your admin

The template sets in your list were authored and assigned centrally. You switch between them and fill them normally — you just don’t need to build or import them.

Fill-in-only by default

Most fleets keep the Builder tab and Import / Export turned off for members. If you need one of those, ask your admin to enable it for your device.

No billing or plan screens

The fleet owns the subscription. You won’t see checkout, upgrade prompts, or a personal cloud backup section.

Your identity in Settings

Settings shows your workstation name (device-approval fleets) or the email you signed in with (email-code fleets), plus theme and accent colour. Renaming your device here also updates what your admin sees.

Template updates

New versions arrive live

  • When your admin publishes a new version of a set, it pushes to your screen live, with a short toast summarising what changed. No re-login, no manual import.
  • If a set is unassigned from your workstation, it simply drops off your list.
  • Anything you had half-typed in the Maker stays put — a template update swaps the template text, not your in-progress output.

Working offline

Install it, use it with no connection

  • After the first successful sign-in and load, the app is a full installable PWA. Your assigned templates are cached on the device.
  • You can keep filling templates and copying output with no connection. It reconnects and re-syncs on its own when you’re back online — including picking up any template version your admin published while you were away.
  • A very long time offline may require a reconnect so the app can re-check your seat is still active.

Removed, blocked, or on two fleets

What the admin can do to a device

  • Seat revoked / device removed / email removed from the fleet: the app shows a brief “removed from fleet” screen and returns you to the sign-in screen. Work that hadn’t synced stays only on that device.
  • Device blocked: same result, but the device can’t sign back in until the block is lifted.
  • Signed in elsewhere (email-code fleets): this device drops to “Signed in on another device.” Sign in again here to move the session back.
  • On two fleets at once: one browser can hold a session for two different fleets — each from its own join link. Open the matching link to switch between them.
Part Two

Fleet Admin console

For the plan owner, at fleet.tempified.online — separate from the workspace your team fills templates in. This is where seats, devices, and shared templates are managed centrally.

Managing devices

Approve, rename, and remove workstations

A new workstation asks for access, and you approve it right from its detail card. Lost a laptop? Someone left the team? Revoke its seat or block it outright — zero waiting, zero support tickets needed.

  • 1-Click Approve: Approve a pending workstation to grant it an active seat. If your fleet is at capacity, the button becomes “Add Seat & Approve” to scale on demand.
  • Revoke Seat: Deactivate an approved device to immediately free up its seat for another workstation without deleting its audit history.
  • Hard Block: Instantly blacklist a compromised or stolen device, immediately severing all workspace connectivity.
  • Friendly Renaming & Notes: Customize device names and attach location tags (e.g. “Support Tier 1 · Desk 4”) for quick identification.

Email-code fleets

If your fleet uses email-code sign-in, you manage people rather than pending devices: add a teammate’s email to consume a seat immediately, and the device list shows each member by email. Removing the email frees the seat and signs their device out.

What members can do

Per-device permission switches

Three switches on every member’s detail page — Builder Tab, Import, Export — are all off by default. Most teams keep members as “fill-in only”: they use centrally-authored templates but can’t edit or move data around. Flip a switch and save to grant more.
